What This Does

Zoom's AI Companion automatically generates a meeting summary and action item list after any Zoom call — so you don't need to take live notes, and every meeting produces a follow-up document automatically.

Before You Start

  • Your organization has a paid Zoom plan (Zoom AI Companion is included in Pro, Business, and Enterprise plans)
  • Your Zoom account admin has enabled AI Companion features — if not, request it
  • You have Zoom desktop app installed and updated to the latest version

Steps

1. Enable AI Companion for your meetings

In the Zoom web portal (zoom.us), go to Settings → AI Companion. Ensure "Meeting Summary with AI Companion" and "Smart Recording" are turned on. These settings may need to be enabled by your admin.

2. Start a meeting normally — AI Companion runs in the background

Once enabled, AI Companion automatically processes your meeting audio. No extra setup per meeting. Participants will see a notification that AI features are active.

3. Access the summary after the meeting

Within 5–10 minutes of the meeting ending, the host receives an email with the AI-generated summary. You can also find it in the Zoom web portal under Recordings & Transcripts → AI Companion Summaries.

4. Review and send to attendees

The summary includes: key discussion points, decisions made, action items with owner names, and next steps. Edit for accuracy, then forward to meeting attendees as your official follow-up.

Real Example

Scenario: Your executive has 4 back-to-back Zoom calls on Monday. You can't attend all of them but need to track action items from each.

What happens: Each call automatically generates a summary. By 5pm, you have 4 meeting summaries in your inbox. You review each, combine the action items into your tracking spreadsheet, and send follow-ups in 20 minutes rather than 2+ hours.

What you get: Consistent meeting coverage even when you can't attend every call your executive has.

Tips

  • If your organization uses Microsoft Teams instead of Zoom, Teams has a similar feature under "Intelligent Recap" — look for it in the meeting recordings
  • The AI is better at capturing explicit action items ("John will send the proposal by Friday") than implied ones — coach your executive to state actions clearly in meetings
  • Some employees are uncomfortable with AI recording — check your organization's policy and make sure meeting participants are informed
